How to buy AI subscriptions for a small business: the mid-2026 playbook.

We track forty AI subscription plans across twelve providers, from free tiers to a $300-per-month multi-agent monster, with prices verified against official pages. The market looks chaotic, but buying well comes down to five rules. Most businesses that follow them spend $20 to $45 per person per month and stop feeling like they are missing out.

Rule 1: Pick one anchor plan by your real main workflow

Not the workflow you aspire to. The one your team does for hours every day. In mid-2026 the pattern is stable:

  • Writing, documents, and code: Claude Pro is unusually strong for both.
  • Living in Word, Excel, and Outlook: Microsoft 365 Premium puts AI where your team already works.
  • Living in Gmail and Google Docs: Google AI Pro, which also carries the strongest creative media tools at $20.
  • Sourced research and search: Perplexity Pro, with several model families behind one interface.
  • A bit of everything: ChatGPT Plus remains the broadest single $20 plan.

The $20 tier is where the industry concentrates its value. Below it you get meaningful caps. Above it you mostly buy capacity, not capability, and you should not pay for capacity you have not yet run out of.

Rule 2: Stack a second tool only for a distinct capability

Two general-purpose $20 assistants overlap almost completely. A good stack pairs different jobs: a research-first plan plus a coding-first plan, or an office-suite plan plus a specialist. The cleanest example in our data: a developer with GitHub Copilot Pro at $10 and a general assistant at $20 gets two genuinely different products for $30. Two chat subscriptions at $20 each usually gets you one product, twice.

Rule 3: Do the seat math before comparing stickers

Per-seat prices hide structural costs. Claude Team wants five seats minimum. ChatGPT Business wants two. Mistral's Le Chat Team adds a $50 monthly base fee on top of its per-user price, which quietly makes a three-person team cost about $42 a head. Microsoft 365 Copilot Business requires a qualifying base license you may or may not already pay for. For a five-person business, these structures move the real total more than the advertised price does.

Rule 4: Privacy tiers are a real product line, not marketing

There are three levels, and they are not interchangeable. Consumer plans may use your chats to improve models unless you opt out. Some individual plans commit to no training but keep everything on the provider's side. Business workspaces add contractual no-training terms, admin controls, and central billing. If client data, financials, or health information touches the chat window, the business workspace is the floor, not a nice-to-have.

The local option got real in 2026. Ollama's Pro tier hosts the largest open models (DeepSeek, GLM, and soon Kimi K3) for $20 a month with a stated no-logging policy, and running smaller models on your own hardware is free. It is a runtime rather than a polished assistant, but for workloads that cannot leave your control, it has become the credible answer. Our plan finder now has a "Local / open models" filter for exactly this.

Rule 5: The subscription is not the API

Chat subscriptions almost never include API usage, and API pricing is its own market with its own leaders. If you are building automations or software, budget the two separately. The cheapest chat plan and the cheapest API for your workload are frequently different companies. And the free tiers deserve respect

DeepSeek's free chat is a legitimately strong reasoning tool. Gemini's free tier is a capable daily assistant. For a sole proprietor with light needs, free plus discipline beats $40 of overlapping subscriptions. Start free, measure where you hit walls, and buy the wall you actually hit.
